How to share a Play Session link with a calendar invite
Copy your session's Play Mode link or email participants a calendar invite (event.ics) that points to it.
From Play Mode you can copy the session's public link, or email a calendar invite to each participant. The invite includes an event.ics file that adds the session to their calendar, with the Play Mode link as its location.
Before you start
- You must be signed in and able to edit the session. Guests who open the link do not see these options.
- Set the session's start date, end date and time zone first, because the invite uses them. If no start date is set, the event starts at the time the invite is sent.
Steps
- In the Instigator sidebar, click Sessions and open the session.
- Click Play. Play Mode opens in a new tab.
- To share the link only, click Copy Link next to "Share this link with who you want to share the session with:". Paste it anywhere, for example in a chat or an existing meeting invite.
- To send calendar invites, find "Share session via email (add one by one):" and click the + button.
- Type one participant's email address. Click + again for each extra participant.
- Click Send Invite. The session is saved and an email with an event.ics attachment is sent to each new address. You also receive a copy.
- Click View sent invites to see the Guests list.
What the invite contains
- Title: the session name.
- Description: the session's challenge statement.
- Location and link: the Play Mode URL.
- End time: the session end date or, if empty, the start time plus the total duration of the agenda.
Tips
- Only new addresses are emailed when you click Send Invite. To email someone again, open View sent invites and click Resend invites next to their address. A resent invite may not contain a working Play Mode link, so also send them the link from Copy Link.
- Participants do not need an account to open the Play Mode link.
- Do not share the link of a session that belongs to a template.
